BRIEF DESCRIPTION OF JOB:
The American Association of Physicists in Medicine (AAPM)is a scientific and professional organization, founded in 1958, composed of more than 8000 scientists whose clinical practice is dedicated to ensuring accuracy, safety and quality in the use of radiation in medical procedures such as medical imaging and radiation therapy.AAPM supports scientists and and focuses on its mission of advancing medicine through science.
AAPM is seeking a driven and detail-orientated Exhibits Manager to oversee the process of exhibit and sponsorship sales, particularly around association meetings and conferences. As Exhibits Manager, you will provide strategic insight to help improve sales plans and opportunities, and collaborate with the Meeting and Exhibits team to help increase attendance for major events like AAPM's Annual Meeting, Summer School, and Spring Clinical Meeting. You will manage the meetings and exhibit process and develop resources like exhibit space floor plans, sponsorship brochures, and exhibit service kits. As Exhibits Manager, you will provide in-person support at events produced by AAPM, and represent AAPMas an attendee of other physics-related conferences and meetings. You will be joining a team of energized, charismatic, and passionate individuals who thrive in a collaborative environment.
AAPM is requiring new staff to report to the office full time (5 days per week) for the first six months. After six months, position is eligible for remote work up to 2 days per week.
ESSENTIAL FUNCTIONS:
MEETINGAND EXHIBIT MANAGEMENT80%
- Collaboratewith the Directorof Meetingsand Technical Exhibits Subcommitteeon developing strategies to increase booth and sponsorship sales.
- Collaborate withthe Director of Meetings and Technical Exhibits Subcommitteeon increasing attendee traffic and participation with exhibitors.
- SupportTechnical Exhibits Subcommitteewith the development and execution of Partners in Solutions and Guided Tours.
- Managethe Association meetings exhibit processes, to include creation of the Exhibitor Prospectus, Exhibit Space Floorplan, Service Kit, Sponsorship Brochure andExhibit Buyers Guide.
- Develop and execute the in-person and virtual Exhibitor Site Inspection for the Annual Meeting & Exhibits.
- Manageexhibitor and sponsor related sales and service activities within the Annual Meeting, Spring Clinical programs, Summer School and any other new meeting.
- Processand issueinvoices to exhibitors for booth contracts, sponsorships and other billable items.
- Support theexhibitor and sponsor registration and housing processes for all Association meetings including conflict resolution, responses to general inquiries, confirmation and receipt requests, and cancelation and refund.
OTHER FUNCTIONS: 20%
- Handles logistical arrangements for Association participation at physics-related meetings.
- Represents AAPM as an exhibitorat physics-related meetings.
- Provides staff support to Technical Exhibits Subcommittee, including oversight of booth formation review and approval process.
- Support staff for Meeting Coordination Committee, Annual Meeting Subcommittee, Corporate Relations Committee and Spring Clinical Meeting Subcommittee meetings and activities as assigned.
- Other duties as assigned.
QUALIFICATIONS:
- Bachelor’s degree or equivalent work experience required.
- Minimum of three years of experience in exhibit sales or operations. Experience in a non-profit scientific, medical, or professional society environment preferred.
- Ability to manage multiple projects, identify mission critical processes and adapt to shifting job requirements with minimal supervision.
- Excellent organizational, verbal, written, and interpersonal skills with demonstrated effectiveness working in a team environment.
- High-level proficiency in a MAC environment including Microsoft Office.
- Database experience required.
- EXPOCAD experience desired.
- Ability to travel both internationally and domestically as needed for the Association.

AAPM sponsors three scientific meetings each year, a spring clinical meeting, a main summer annual meeting, and a fall scientific meeting (joint with the Radiological Society of North America).
